Terms & Conditions

The agreement that applies when you browse this website or use the Care18 software — written plainly, in plain terms.

These terms apply to the Care18 website and product. By accessing the website or using the software you agree to them. If you use the product on behalf of an organisation, that organisation agrees to them too. If you do not accept these terms, please do not use the website or the software.

About the service

The Care18 website provides information about our hospital ERP platform, modules and services. The Care18 software is a cloud-based hospital management and operations platform supplied under a separate agreement or order form, which sets out your modules, users, locations and fees.

Accounts and credentials

Where the website or product lets you create an account, you are responsible for keeping your login credentials confidential and for activity that happens under your account. Access is granted to named users, and it must not be shared outside your organisation. If you suspect your account has been compromised, let us know as soon as possible.

Acceptable use

You agree not to misuse the website or the product, including:

  • using either in a way that breaks applicable law or the rights of others;
  • attempting to access, scan or test systems or data you are not authorised to reach;
  • introducing malware, or interfering with or overloading the operation of our services;
  • reverse engineering, copying or reselling the software beyond what is expressly permitted;
  • entering information about real patients other than for legitimate clinical, administrative and record-keeping purposes;
  • relying on the product’s AI assistance as medical advice — it supports administration and documentation, and decisions about patient care always rest with clinicians.

Your data and responsibilities

You remain responsible for the accuracy and lawfulness of the data you enter into Care18, including patient records. Where you are a healthcare organisation, you act as the controller of that data and are expected to have the consents, authorisations and policies your local law requires. We process the data on your instructions as described in our Privacy Policy.

Intellectual property

The Care18 name and logos, the software, its configuration screens, documentation and all content on this website belong to us or our licensors and are protected by applicable intellectual property laws. We grant you a non-exclusive right to use the software and website for the purposes they were built for. Feedback you send us about the product may be used to improve it without payment or credit, subject to applicable law.

Fees and payment

Fees, billing frequency, taxes and payment terms are set out in your order form or proposal. Subscription fees are due as agreed, and we may suspend access for accounts that fall significantly behind on payment, consistent with applicable law and after reasonable notice.

Third-party services

The product and website may connect to, or link to, third-party services such as payment gateways, messaging providers, laboratory analysers or government systems. We are not responsible for the availability or conduct of those third parties, and their own terms apply to their services.

Disclaimers

To the maximum extent permitted by applicable law, the website and the software are provided “as is” and without any warranty, whether express or implied. We work to keep the service available, accurate and secure, but we do not warrant that it will be uninterrupted, error-free, or that the results obtained from it will meet every expectation. Website content is general information, not professional or medical advice.

Limitation of liability

To the maximum extent permitted by applicable law, we are not liable for indirect, incidental, special or consequential losses, or for lost profits, revenue or data arising from your use of the website or the software. Our total aggregate liability for a claim connected to the product is limited to the amounts you have paid us for the product in the relevant period. Nothing in these terms excludes or limits liability that cannot be excluded or limited under applicable law.

Termination

You may stop using the website and close your account at any time. We may suspend or terminate access where you breach these terms, fail to pay when due, or where continued access would put the service or other users at risk. On termination, clauses that should reasonably survive — including intellectual property, disclaimers, limitation of liability and governing law — continue to apply.

Governing law

These terms are governed by the law applicable in the jurisdiction where the service is provided, without regard to its conflict-of-law provisions. Disputes will be resolved in the competent courts of that jurisdiction unless mandatory local law provides otherwise.

Changes to these terms

We may update these terms as the website and product evolve. When we do, the revised terms will be posted on this page and take effect on the date of posting. Material changes that affect your rights will be highlighted where appropriate. Continuing to use the service after a change means you accept the updated terms.
